Booking platforms

Set up each platform that lists your units: its commission, calendar rules and price markup.

Before you start​

  • Where: Settings → Integrations → Booking Platforms (https://platform.vivin.app/settings/integrations).
  • Plan: every account has every platform card.
  • Permissions: Account Settings → Module and Account Settings → Integrations. Changing Markup also needs Finance → Approve Payments, which only Super Admin has by default. Without it you can still save the other fields, as long as you leave the markup as it was.

There is one card per platform: Inlife, Uniplaces, Spacest, Spotahome, Housing Anywhere, Vivin Booking Engine, Edu Portugal, Erasmus Life Lisboa, Airbnb, Booking.com, OTA channels, Idealista, Coliving and SRF (Student Room Flat). OTA channels is the channel connection behind your Airbnb and Booking.com accounts.

Add, edit or stop a platform​

  • Add: click Add at the top of Platform Integrations and pick the platform under Booking platforms. Each platform can be added once. Platforms that sync listings then get a column in Sales → Channel Manager.
  • Edit: click the platform name to expand its card, click Edit, change the values and click Save.
  • Stop: click the trash icon on the card. The platform is deactivated, but the card keeps the values you saved for when you add it again.

  • In edit mode the fields read Commission (%), Commission VAT (%), Calendar Block (days), Markup Type and Markup Amount (%) or a fixed amount.
  • Markup Type is None, Percentage (%) or a fixed amount. Only rent is marked up (on Vivin Booking Engine, also the extra charge per tenant); fees and deposits are not. On OTA channels it has no effect, because prices and amounts come from the channel.
  • The booking engine uses the Integration API key when it creates properties and units in VIVIN. See Booking engine integration.

Calendar Block​

Leave it empty unless you want this effect. With a number of days (N), VIVIN looks at the latest booking or block with an end date on each unit:

  • If it ends more than N days from today, this platform's feed closes the calendar from that end date for two years, so the platform stops selling dates after that far-off stay.
  • If it ends within N days, nothing is added.

Only what this platform receives changes. The unit's calendar in VIVIN and the iCal feeds stay the same.

What a platform supports​

Some cards have an (i) button, "What … supports". It opens a window, for example "Uniplaces capabilities", listing the property and unit fields VIVIN sends to that platform.

  • Integration depth switches between Partial integration and Full integration.
  • Req marks a field the platform requires. A warning icon marks a required field VIVIN does not send yet.

What happens when you save​

  • Email, markup and Calendar Block apply from the next feed sent to that platform.
  • A new markup applies to bookings that come in afterwards; existing bookings keep their rent.
  • Stopping a platform deactivates it; adding it back restores its saved values.

Troubleshooting​

  • Saving the card is refused after a markup change: your role lacks Finance → Approve Payments. Put the markup back, or ask a Super Admin.
  • A platform's calendar stays closed for years after the last booking: check Calendar Block on that card.
  • A platform shows no Channel Manager column: add it first.
  • A Uniplaces, Spotahome, Housing Anywhere or Spacest booking never arrived: check your notifications for an alert about it, that its confirmation email was forwarded to your bookings address, and that the unit is linked to that listing. VIVIN does not retry a failed import, so add the booking by hand (see How integrations work).

Tips​

  • To keep one unit out of a partner's feed, turn that platform off under Integration listings in the unit's Full integration tab in Listings.
