Properties Workspace
The Properties workspace is a dedicated view for managing properties in a visual, card-based layout. It complements the Listings module by focusing on property-level operations: quick portfolio scanning, filtering, property creation, and property-level configuration.
Use this workspace when you need to:
- Review portfolio status quickly (active/inactive, occupancy, bookings)
- Search and filter properties by owner, booking status, payment status, and tags
- Add a new property with guided setup steps
- Configure property-level contract, utility, maintenance, access, and email settings
Access Path (Current Navigation)
There is currently no dedicated Properties item in the left sidebar.
To open this workspace:
- Log in to the management app.
- Open any sidebar section (for example, Portfolio > Listings).
- In your browser URL, navigate to
/properties(for example,https://hub.vivin.app/properties).
Direct tab routes are also available:
- hub.vivin.app/properties — All properties
- hub.vivin.app/properties/active — Active properties
- hub.vivin.app/properties/inactive — Inactive properties

Workspace Overview
Each property card shows key metrics and identifiers in one place:
- Property name
- Status badge (Active / Inactive)
- Location (city and country)
- Listings count
- Active bookings count
- Occupancy %
This lets operations teams spot underperforming or overbooked assets without opening each property individually.
Tabs
The workspace includes three tabs:
- All — all properties
- Active — only active properties
- Inactive — archived or disabled properties
Tab counters update automatically based on current data.
Search and Filters
Use the search input to find properties by:
- Internal name
- Public name
- Address
- City
- Country
Use Filters to narrow results by:
- Owner
- Booking status (with/without active bookings)
- Payments status (payments active/inactive)
- Property tags
Creating a Property
Click Add Property to open a 4-step wizard:
- Property details — name, address, floor, owner
- Utility bills ID — electricity, gas, water, internet contract IDs
- Extra payments — deposit, cleaning fee, admin fee, bills included
- Contract details — payment frequency, contract type, confirmation/check-in payment rules
Required fields
- Property name is required
- Address is required
Owner and utility contract IDs are optional, but strongly recommended for operational accuracy.
Editing an Existing Property
Click any property card to open the property sidebar editor.
Property information
Update core metadata:
- Property name
- Owner
- Address
- Floor
- Property categories (tags)
Contract information
Configure the business rules used for bookings and charges:
- Contract day type (daily, fortnightly, monthly)
- Contract type
- Confirmation payments
- Check-in payments
- Due date offset
- Deposit and fee rules
- Cleaning fee requirement
Property Payments Active toggle
The Property Payments Active setting controls whether tenants in this property can pay through the tenant portal. If disabled, online payment actions are blocked for bookings under this property.
Tenant online payments usually depend on both:
- The account-level preferences toggle, and
- The property-level Property Payments Active toggle.
Utilities
Manage utility contract IDs and bills-included configuration:
- Electricity contract ID
- Gas contract ID
- Water contract ID
- Internet contract ID
- Bills Included ceiling
This setup is used by utility workflows to map bills to the correct property.
Maintenances
Configure automatic maintenance ticket creation:
- Create ticket at check-in
- Create ticket at check-out
- Define title and description for each automation
Access Lockers
Configure entry access for:
- Building door
- Property door
For each entry point, you can choose:
- Nuki locker (select a connected smart lock), or
- Manual code
Optional hints can be added to help tenants locate and use entry points correctly.
Email customization
Set property-specific custom messages for:
- Onboarding email
- Check-in email
- Check-out email
These messages personalize communication for this specific property.
Delete property
The sidebar includes a delete action with explicit confirmation. Deletion is irreversible.
